Contract Duration: 12 months

Russell Tobin is currently hiring for a Recruiting Coordinator to join the Talent team of one of our clients, a pioneering AI research and development company at the forefront of building transformative technology for global impact! This organization is shaping the future of artificial intelligence, committed to bold innovation, rapid iteration, and mission-driven outcomes. In this role, you’ll own the scheduling lifecycle, partner with internal teams, and play a key part in making every candidate interaction seamless and professional across technical and non-technical hiring.

This is a high-impact, high-volume coordination role that requires sharp attention to detail, exceptional communication skills, and the ability to manage multiple moving pieces in a fast-paced, ever-evolving environment. The ideal candidate will have experience supporting recruitment at top tech companies or fast-paced startups.

Responsibilities:

  • Own end-to-end scheduling for evergreen and specialized hiring needs across technical, engineering, and corporate functions
  • Serve as a key point of contact for candidates, ensuring all communication (written and verbal) is timely, professional, and welcoming
  • Partner with recruiters, interviewers, and leadership to ensure seamless interview execution and candidate touchpoints
  • Manage candidate travel and reimbursement logistics (including international scheduling)
  • Greet and host candidates both virtually and in person, ensuring a warm and polished experience
  • Support senior and executive-level hiring coordination in collaboration with the Executive Operations team
  • Troubleshoot scheduling challenges, identify process improvements, and help streamline recruitment workflows using data and tools

Qualifications:

  • 2–3 years of recruiting coordination experience at a top-tier tech company or high-growth startup
  • Strong proficiency in Google Workspace (Meet, Calendar, Docs), Slack, and applicant tracking systems like Ashby
  • Proven ability to manage 100–200+ interviews per month
  • Meticulous attention to detail and highly organized work style
  • Excellent communication skills with a polished, professional tone when interacting with candidates and internal teams
  • Adaptability in high-growth, “scrappy” environments without rigid structure (must thrive in ambiguity)

Nice-to-Haves:

  • Experience scheduling with tools like Guide
  • Understanding of AI, ML, or broader tech landscapes to engage candidates
  • Familiarity with process automation tools used in recruiting coordination
  • Exposure to both technical and non-technical recruiting functions
