Position Summary

The Receptionist & Administrative Support Staff provides administrative support to ensure efficient operation of office. Responsibilities include reception phone coverage and administrative duties such as filing, typing, copying, binding, scanning and supporting the Front Office Coordinator.

Job Responsibilities

Reception

  • Turns on the common area and conference room lights upon arrival each morning.
  • Turns on televisions in the conference rooms, reception, and main pantry upon arrival each morning.
  • Provides fulltime reception coverage from 8:00am – 5:00pm daily, with a 1-hour lunch break.
  • Assist Front Office Coordinator with office lunches and other activities, as needed.
  • Assists Front Office Coordinator with maintaining kitchen, conference room and supplies and coordinates service requests when needed.

Administrative (as needed)

  • Retrieves, scans (as needed), stamps, sorts and distributes mail as received.
  • Sends FedEx and certified mail.
  • Maintains copiers and other business machines including monthly meter readings for selected machines.
  • Manages office supply processes and maintains appropriate inventory levels and responds to office supply special requests.
  • Maintains Fed Ex supplies and coordinates on-line account maintenance.
  • Orders Pitney Bowes supplies and deals with servicing requests.
  • Forwards monthly information from the plotter to NAPCO.
