JOB DESCRIPTION - CLIENT SERVICE COORDINATOR May 2025 

Eternity Health Partners, powered by the Age Management Institute, is a leading integrative health and wellness clinic in Santa Barbara dedicated to enhancing overall vitality through personalized, evidence-based care focused on prevention and long-term wellness.

We seek a full -time, salaried Client Service Coordinator responsible for collecting information on how to best serve clients, enroll them in memberships, and maintain a positive relationship with all clients, past and present, at AMI. The Client Service Coordinator will report directly to general management and work closely with the Physician, Concierge Receptionist, Program Specialist , and other role players, e.g., teams within the organization, vendors, and customers. Success in this role requires excellent organization, clear communication, and a consistently professional and courteous demeanor.

This is a full-time, in-office salaried position with the following hours:

Monday–Thursday: 8:00 AM – 5:00 PM (30min lunch break)

Friday: 8:00 AM – 2:30 PM (30min lunch break)

  • An associate's or bachelor' s degree is preferred but not required. 

Roles & Responsibilities: 

Employee shall perform the following services for the Company as "salary,” and devote such time, attention and energies as required, including but not limited to: 

  • Provide friendly and responsive support to clients through in-person interactions, email, phone, and text. 
  • Review client feedback and requests, and deliver effective, tailored solutions 
  • Promptly escalate client concerns to the appropriate department for timely resolution
  • Work closely with internal teams to align service offerings with client needs 
  • Foster strong, long-term relationships with clients through consistent communication and personalized support.

● Client Membership: 

  • Client Enrollment 
  • Client Paperwork / Docusign 
  • Maintaining Client Retention 
  • Tracking Client procedures and information 

Patient Care , generally: 

  • Compile and maintain records on patient treatments 
  • EMR Data entry on all patient treatment 
  • Screen feedback and requests from clients to provide solutions. 
  • Build and maintain close relationships with clients. 
  • Discuss Client questions on Services & Products
  • Tracking Client procedures and information
  • Adhere to all federal HIPAA guidelines as they pertain to clients 
  • Efficient in EMR & CRM Software 
  • Client relations and meeting protocols 
  • Referral recognition program 
  • Office policies + procedures 

● Team Support: 

  • Support for Preferred Physician, Nurse and Program Specialist 

As a Management Service Provider, AMI Santa Barbara will provide you with; 

  • Annual salary of $68,000-$70,000 based on experience 
  • 10 Days (80 hours) of PTO for the 1st year + 5 Sick Days annually. PTO does not accrue/carry over annually. PTO begins at 90 days of employment. 

Receives holiday pay for the following 2025 Calendar Holiday Dates; 

  • Jan 1 - New Year’s Day
  • Jan 20 - Martin Luther King Day
  • Feb 17 - President’s Day
  • May 26 - Memorial Day
  • June 19 - Juneteenth
  • July 4 - Independence Day
  • Sept 1 - Labor Day
  • Oct 13 - Columbus Day
  • Nov 11 - Veterans Day
  • Nov 27th & 28th - Thanksgiving Holiday
  • Dec 24th, 25th, & 26th - Christmas Holiday & Boxing Day
