Job Overview:

The purpose of the Administrative Assistant is to support daily operations by managing scheduling, ticketing, and office administration with a focus on exceptional client service. This includes coordinating with internal teams, maintaining inventory, and ensuring timely communication and follow-up with clients. The role requires strong organizational skills, attention to detail, and the ability to prioritize tasks in a dynamic environment. Typical Responsibilities:

  • Answer phones
  • Create help desk tickets
  • Review technician schedules to assign tickets to the appropriate team member
  • Coordinate with Project Manager, Service Manager, and clients to schedule remote and onsite services
  • Follow up with clients to receive feedback on recent services
  • Provide timely communication on issue statuses and resolutions
  • Respond to client emails promptly and professionally
  • Ensure proper escalation procedures are followed
  • Triage new tickets sent directly to the service board and ensure prompt assignment to a Help Desk Technician
  • Communicate with clients to obtain information needed to complete projects
  • Provide exceptional customer service
  • Receive and sort mail
  • Manage inventory through regular cycle counts and documentation of material received
  • Receive packages and inspect material for quality
  • Coordinate with Project Manager and Procurement if material is damaged or lost in transit
  • Create shipping labels, pack items to ship, send packing slips, schedule pickup and delivery, and coordinate with end users
  • Ensure the success of Service Level Agreements (SLA)
  • Manage office supplies and order as needed
  • Take notes during team meetings
  • Provide additional support to team members
  • Maintain a strong level of professionalism and commitment to client satisfaction

Required Skills

  • 3+ years of customer service experience
  • 3+ years of administrative experience
  • Exceptional organizational skills with a keen eye for detail
  • Strong professional written and verbal communication skills
  • Ability to remain calm under pressure
  • Self-motivated to work alone or in a team
  • Exceptional time management skills

Preferred Skills

  • Basic technical knowledge and computer skills
  • Experience handling multi-line VOIP phone system
  • 55+ WPM

Schedule

8-hour shift (8:00am – 5:00pm) Monday to Friday

Job Type: Full-time

Pay: $17 – 25 per hour
